Direct answers about automation, compatibility, approvals, duplicate events and the work that needs a recovery path.
What is business automation?
Business automation moves a defined piece of work between agreed steps or systems using rules, integrations and sometimes AI. A useful workflow makes its trigger, required information, review point and completion state clear. Your team remains accountable for decisions and commitments.
How is automation different from an AI agent?
A rules-based automation follows a defined route. An AI step may interpret information or prepare a draft; an agent may choose among allowed actions within a scoped job. A workflow can combine these approaches. Use the simplest method that can meet the task and its review requirements.
Can you connect the tools we already use?
That depends on their APIs, available integrations, permissions, licensing and the data involved. Discovery should inspect access and the actual workflow before promising a connection. Some steps may need a structured export, a manual review or a different process.
What happens if a required detail is missing?
The workflow should hold the item, show what is missing and route it to a named person. It should not invent a value or mark the work complete. Once the detail is checked, the process can resume from an agreed point.
How do you prevent a repeated trigger from creating duplicate work?
Define a stable reference and a check for whether the intended action has already occurred. Test repeated events and unclear matches. The exact approach depends on the source, destination and what the connected systems can support.
What happens when a connected system is unavailable?
Define how the item is recorded, who is notified and how it can be retried safely. A failed update must remain visible. The team needs a way to distinguish work waiting for recovery from work that has genuinely completed.
Will automation send messages or update records without approval?
Authority is agreed for each workflow. Drafting, sending, creating and updating are separate permissions. For customer-facing or consequential actions, the design should make the review and approval point explicit before anything is committed.
Who provides this service and where do you work?
This is a Flowtivity service microsite. Flowtivity is based on the Gold Coast and works with Australian teams on practical AI, automation and training. Remote delivery and any on-site work are agreed during scoping. Contact and engagements are handled through flowtivity.ai.
